Wagepoint & Xero boost Canadian payroll integration

Wagepoint and Xero have introduced an enhanced payroll and accounting integration for Canadian small businesses, building on their existing partnership.

The update allows payroll data from Wagepoint, including wages, taxes, deductions and benefits, to flow automatically into Xero. It also adds single sign-on, letting users access Wagepoint with their Xero credentials and move between the two systems more easily.

The companies are addressing a common pain point for small businesses and their advisers: payroll is often processed in one system and then manually reconciled in another. That can create duplicate work, increase the risk of errors and delay a clear view of a company's financial position.

The updated integration is aimed at businesses with 1 to 19 employees, as well as the accountants and bookkeepers who manage payroll and bookkeeping on their behalf. Wagepoint says more than 30,000 businesses, accountants and bookkeepers use its platform.

Xero, which describes itself as a global small business platform, said the move comes as smaller Canadian firms continue to face pressure on costs and cash flow. The companies pointed to survey data showing many small businesses expect cost-related obstacles in the near term, while business optimism remains subdued.

Separate data cited by Xero indicated that many owners are still waiting weeks to be paid after issuing invoices, even as sales begin to stabilise after softer quarters. In that environment, tighter links between payroll and accounting systems can help owners keep records current and reduce administrative time.

Shared users

The update also reflects the overlap between the two companies' user bases, particularly among accountants and bookkeepers. These advisers often work across multiple clients and can face repetitive manual tasks when payroll and accounting records are kept in separate products.

Richmond added that the update deepens the companies' existing commercial relationship.

Small business pressure

The announcement comes against a difficult backdrop for Canadian small businesses, which are dealing with higher operating costs and uncertainty over demand. For firms with small finance teams, or no dedicated finance staff at all, fragmented software can add another layer of strain.

By linking payroll records directly to accounting ledgers, the integration is intended to reduce the need for business owners to re-enter data and check multiple systems. That is particularly relevant in payroll, where federal and provincial requirements add complexity for employers.

Xero said the combined setup is designed to give owners and advisers a clearer, more current view of business finances. For bookkeepers and accountants, a more direct connection between payroll and accounting can also shorten routine month-end and reconciliation work.

Market context

The Canadian small business software market remains crowded, with providers competing on simplicity, compliance and integration with adjacent finance tools. Payroll and accounting are often sold separately, even though they sit close together in day-to-day operations.

That has created room for partnerships between specialist providers rather than a single all-in-one system. Wagepoint focuses on payroll for Canadian small businesses, while Xero offers a broader accounting platform with a large ecosystem of connected applications.

The enhanced integration is available now for Canadian small businesses, accountants and bookkeepers. New customers are also being offered three months free when they start with Wagepoint, Xero or both.
